Properties & access

Organize your buildings

Start with one property and a small team before expanding your portfolio.

Link to this guide ↗
  1. Open Properties and check whether the building already has a record.
  2. Use a consistent building name and physical address. Keep separate locations as separate properties.
  3. Ask your workspace administrator to assign the people who need access to that site.
  4. Open the property with a team member and check that the correct building and related work are visible.

Assets & labels

Register equipment and assets

Give regularly maintained equipment a clear identity and location.

Link to this guide ↗
  1. Open Assets and look for an existing equipment record.
  2. Associate the equipment with the correct property. Use a recognizable name and a location your team can find.
  3. Start with the assets involved in your first maintenance workflow, then expand the register.
  4. If you use QR labels, create or print them from Assets and test the label on the intended equipment. Decide deliberately whether public issue reporting should be enabled.

Work orders & evidence

Take a work order through to completion

Keep the building, equipment and next action with the job.

Link to this guide ↗
  1. Open Work orders and check for an existing request before creating another.
  2. Record the property, relevant asset, problem and priority. Make the instructions clear enough for the next person to act.
  3. Assign responsibility and review any procedure or reference files attached to the work.
  4. Record progress and completion evidence before closing the work order. Review the finished record with your team.

Preventive maintenance & SOPs

Set up recurring maintenance

Test one recurring procedure before rolling it out across buildings.

Link to this guide ↗
  1. Choose the property and equipment for the recurring job. Check for an existing maintenance plan.
  2. Set the schedule, priority and assignee for the plan.
  3. Write the procedure in Edit plan, or add a PDF SOP and reference pictures.
  4. Generate the next work order and inspect its instructions. Generated work orders retain their own copy of the procedure and references.
  5. Have a team member complete the workflow and record evidence. Refine the plan before expanding it.

Sensors & device status

Plan and check sensor monitoring

Start with the condition you need to monitor and where it matters.

Link to this guide ↗
  1. List the building, room or equipment and the measurement you need.
  2. Confirm sensor selection, mounting position, gateway coverage and monitoring requirements with Logic Foundry. Hardware and site setup are scoped for the installation.
  3. Check that each device is associated with the intended property and physical location.
  4. After commissioning, compare the displayed reading, its time and the device status with the expected site conditions.
